RecordMy will can pick up movement between organisations, this includes both schools using UPN and organisations using their own ID numbers.
Outbound transfers appear when a person at your organisation is archived and the same identifier appears at another organisation. If you have any outbound transfers, you will see them in the ‘Transfers’ menu on the left.
If you are happy to allow the transfer to proceed, click the check mark button. If you are not then the Red Cross button will cancel the transfer.
If you have more than one transfer, you can click approve all.
Once you click approve you will be taken to another screen to confirm what information you would like to transfer. There are 4 steps to follow:
Step 1 - Choose the recording types you would like to transfer
By default, in customisation - you can turn on or off Transfers for each recording type. The ones you have turned on will be selected by default, you can change these manually for each transfer.
Step 2 - Confirm what you want to do with current new or open cases
When you transfer information, you may have new or ongoing cases and might want to have these closed and acknowledged for you. If you do then you can select ‘acknowledge source entries' and/or 'close source entries’.
You cannot force the destination to do the same, however if you select these then it will show at the destination that you selected to acknowledge and/or close them. The destination can choose to change these settings too so this is more like a suggestion to the receiving organisation.
Step 3 - Confirm the people included in the transfer
Next you will be able to confirm the people included in the transfer. There is nothing to select here, this is just confirming you know the people that will have data transferred.
Step 4 - Approval
After confirming the above steps, you can then approve the transfer.
Once you approve the transfer the destination school will need to ‘Accept’ it. It will show as ‘Pending Acceptance’ until this happens.
Further Information
Transfers are processed automatically, they usually take anywhere from a few seconds to 1 hour to process during the daily transfer period. These take place when you have approved the transfer and the destination has accepted the transfer.
Transfers take place at times based on your location, but for the most part these are processed Monday-Friday between 6am and 6pm.
