RecordMy will can pick up movement between organisations, this includes both schools using UPN and organisations using their own ID numbers.
Inbound transfers appear when a person at your organisation has the same identifier at another organisation and their record has been archived. It also required the sending organisation to approve the transfer. If you have any approved, inbound transfers - you will see them in the ‘Transfers’ menu on the left.
If you are happy to allow the transfer to proceed, click the check mark button.
If you have more than one transfer, you can click accept all.
Once you click accept you will be taken to another screen to confirm what information you would like to transfer. There are 3 steps to follow:
Step 1 - Choose where you would like the information to go
As you may be aware, RecordMy allows customisation of the type of information you record. This means the organisation sending information may have more categories of information (recording types) than you (or less). They may also named differently.
You can choose which recording type you would like the information being sent to appear in. For example:
You may choose to put multiple types of information on to the same recording type in your organisation. You might also decide that some information (recording types) are not relevant. If you don't want to transfer a specific recording type then choose DO NOT TRANSFER.
Step 2 - Confirm what you want to do with current new or open cases
The sending school may have requested you close and acknowledge all entries on transfer, but this is your choice. If you would like to receive previous open cases as open cases and new cases as new cases on your software, please make sure these are unchecked. If you are happy to have them automatically closed and acknowledged then check both boxes.
Step 3 - Accept Transfer
After confirming the above steps, you can then approve the transfer.
Once you accept the transfer it will show as ‘In Progress’ or ‘Transferring' and this will happen automatically. This can’t be stopped once accepted.
Further Information
Transfers are processed automatically, they usually take anywhere from a few seconds to 1 hour to process during the daily transfer period. These take place when you have approved the transfer and the destination has accepted the transfer.
Transfers take place at times based on your location, but for the most part these are processed Monday-Friday between 6am and 6pm.
